This policy details how FoodPulse.AI handles operational data, menu uploads, recipe formulas, inventory transactions, and supplier details across web and mobile platforms.
1. Overview & Data Scope
FoodPulse.AI provides an AI-powered food operations platform for hotels, restaurants, cafes, cloud kitchens, and catering operators. This policy applies to all data collected through the FoodPulse.AI web application and Android mobile application.
2. Operational Data We Collect
To deliver food management services, we process: (a) Menu images, PDFs, and documents uploaded for AI dish & ingredient extraction; (b) Recipe masters, yields, and portion costing benchmarks; (c) Inventory transactions, stock receipts, material issues, and variance logs; (d) Supplier catalogs, price lists, indents, and purchase orders; and (e) User profiles and activity logs for security audit.
3. How AI Processing Works
Uploaded menu images and PDFs are analyzed by FoodPulse.AI models to identify dishes, ingredient lists, and estimated quantities. All AI-generated outputs are staged in a draft state and require explicit human review and approval by authorized kitchen or purchase staff before being saved to your live operations ledger. We do not use your proprietary recipe formulas to train public models.
4. Multi-Level Architecture & Access Control
Our system enforces strict data boundary isolation structured around Client → Site → Location. User access permissions are scoped by designated role (e.g., Executive Chef, Inventory Manager, Purchase Officer, Operations Leader). Users can only access data belonging to their assigned site or kitchen location.
5. Data Retention, Security & Protection
All data in transit is encrypted using modern TLS (HTTPS), and data at rest is stored in secure, access-monitored infrastructure. Operational records, transaction histories, and financial logs are retained for the duration of your active subscription and backed up routinely for disaster recovery.
6. Data Export & Account Deletion Rights
Client organizations retain full ownership of their data. Account administrators can request a complete export of master recipes, inventory ledgers, and purchase history at any time. Upon contract termination or formal deletion request, your operational data will be purged in accordance with our data retention schedules.
